THE RECOVERY 360 COMMUNITY INTEREST COMPANY

 

Changes to UK data privacy law came into effect on 25 May 2018 under the GDPR (General Data Protection Regulation) which will give individuals additional right about the way their personal information is collected and used. At TheRecovery360 Community Interest Company, we recognise the importance of the personal information we receive from our customers and we take seriously our responsibility to use it appropriately.

What type of information we collect

We receive, collect and store any information you enter on our website or provide us in any other way. In addition, we collect the Internet protocol (IP) address used to connect your computer to the Internet; login; e-mail address; password; computer and connection information and purchase history. We may use software tools to measure and collect session information, including page response times, length of visits to certain pages, page interaction information, and methods used to browse away from the page. We also collect personally identifiable information (including name, email, password, communications); payment details (including credit card information), comments, feedback, product reviews, recommendations, and personal profile.

We do not share personal information with third parties except as necessary to carry out our business (such as sharing your credit card details securely with our credit card processor) or as required by law or other legal processes (i.e.: safeguarding issues). We will never sell your personal information.

We like to keep you informed of news, offers and our latest training. Under data protection law, it is considered a legitimate business interest for us to use our customers’ details for direct marketing.

To opt in to our updates, you can choose this option when booking a service or by providing us with consent on completion of an evaluation form following your training/ projects attended. However, we understand that your preferences may change and not everybody wants to receive marketing, so if you do not wish to receive any further emails from us please send us an email to contcat@therecovery360.org.uk and we will remove you from our records immediately.

How do we collect information about you

When you conduct a transaction on our website, as part of the process, we collect personal information you give us such as your name, address and email address. Your personal information will be used for the specific reasons stated above only. We may also collect information if you make contact directly with us.

What information do we collect about you?

We collect information about you when you book onto a training course / recovery programme/ purchase a product from our website for the purpose of managing your booking and ensuring you receive your product:

  • Name

  • Email address

  • Telephone

  • Address (may be applicable to our trauma recovery projects)

  • GP Details (may be applicable to our trauma recovery projects)

  • Mailing Preferences

 

We may also collect the following information about your organisation (where applicable):

  • Organisation Name

  • Organisation Telephone

  • Organisation Address

  • Payment preferences and invoicing details

We also process Sensitive Personal Information that may include

  • Physical or mental health details

  • Racial or ethnic origin

  • Religious or other beliefs of a similar nature

  • Sexuality

  • Gender

If you provide us with any Sensitive Personal Information by telephone, email or by other means, we will treat that information with extra care and confidentiality and always in accordance with this Privacy Policy.

 

How will we use the information about you?

To provide our service. We use the information collected about you to:

  • Manage your booking

  • Process donations through our website and other platforms

  • Process purchases through our website

  • Send you your purchased products

  • Follow up with you about your training course and projects

  • Email you our workbooks for our projects where applicable

 

How your information is stored

The Recovery 360 is hosted on the Wix.com platform. Wix.com provides us with the online platform that allows us to sell our products and services to you. Your data may be stored through Wix.com’s data storage, databases and the general Wix.com applications. They store your data on secure servers behind a firewall.  

 

All direct payment gateways offered by Wix.com and used by our company adhere to the standards set by PCI-DSS as managed by the PCI Security Standards Council, which is a joint effort of brands like Visa, MasterCard, American Express and Discover. PCI-DSS requirements help ensure the secure handling of credit card information by our store and its service providers.

Information collected through direct contact with you (ie: suitability for trauma recovery projects assessment form), will be stored securely on our online database system and will require two-factor authentication for staff to be able to access, record and update confidential records.

 

Your rights:

Access to your information and correction
You have the right to request a copy of the information that we hold about you. If you would like a copy of some or all of your personal information held by The Recovery 360 Community Interest Company, please e-mail us contact@therecovery360.org.uk

We want to make sure that your personal information is accurate and up to date. You may ask us to correct or remove information you think is inaccurate.

The right to be forgotten

You have the right to be forgotten, i.e. the right to ask us to delete all personal data we hold about you. If you wish to do this, please send your request to contact@therecovery360.org.uk stating your name and any email addresses you have registered with on our site to allow us to find and delete your information.

You will receive a response within 30 days with no charge. You can make a request for access free of charge. Please make all requests for access in writing, and provide us with evidence of your identity to contact@therecovery360.org.uk

 

Agencies requesting data from us

  • Statutory services may ask for information about you. Requests for these will be disclosed only when accompanied by your signed consent.

  • The police in matters of overriding public interest, for example where serious criminal offences have been committed.

  • Law courts can insist that therapist centres disclose records to them. The Recovery 360 must co-operate with the court but only following a formal subject access request which includes your consent.

  • Solicitors may ask for reports which will be supplied only where relevant to your treatment and with your consent.

  • Insurance companies may ask for reports on prospective clients or in pursuit of claims but client consent is required.

 

Opting into our email mailing list

On your booking form, you can also opt into our mailing list to receive emails about future training/ news or resources

In order to do this, we will retain the following information about you:

  • Email address

  • First Name

  • Last Name

  • Your mailing preferences

  • Details of emails you have opened or clicked on

Lodge a complaint
You have the right to lodge a complaint with a supervisory authority. The Information Commissioner’s Office has details of how to do this here –https://ico.org.uk/concerns/

 

Retention of your data

We will retain a copy of your booking form for at least 1 year afterwards in order to follow up with you regarding future courses, programmes, products, resources or invoice payment. Some of your data may be stored for a period of 6 years to reflect the nature of our activities and those of our funders. If the data is finance related we will hold it for a period of 7 years as per the requirements of HMRC.


Safeguarding your data

Unless required to do so by law, we will never share your information with third parties unless we have your explicit permission to do so. This may be necessary for certain grant programmes or contracts, but we will always explain this to you and seek your permission before sharing.

 

In regards to data obtained through Wix, Wix deploys and maintains technical and organisational security measures to protect your data and . The Wix security team leads the facilitation and development of procedures, processes and controls that govern the security and integrity of Wix and our users. Our staff and volunteers are allowed access to your personal data once they have been properly trained in GDPR and data privacy and protection. A two-factor authentication for staff to be able to record and update confidential records.

Opt in or Out

If you opt into our mailing list, your data will be retained whilst you remain opted in, and also if you choose to opt out so that we can retain the record of you opting out.
